Trash & Restore
Someone will eventually delete the wrong contact. Trash & Restore means that's a thirty-second inconvenience rather than a lost afternoon of re-entry.
How Deleting Works
When you delete a record in SwiftlyCRM it isn't destroyed immediately. It's marked as deleted and disappears from your lists, searches and reports - but the underlying record is still there, waiting in case you want it back.
What Can Be Restored
| Record | Restorable |
|---|---|
| Contacts | Yes |
| Accounts | Yes |
| Deals / Opportunities | Yes |
| Tasks | Yes |
Find them under Recently deleted in the sidebar.
Restoring Something
Open Recently deleted, find the record, and restore it. It returns exactly as it was - the same details, the same links to related records, and its history intact. Nothing is renumbered or re-created, because it was never really gone.
Tip
Restore the parent first. If you deleted an account and its contacts, restoring the account before the contacts keeps the relationships tidy.
What Restoring Doesn't Bring Back
A few things behave differently, and it's worth knowing which:
- Related records deleted separately need restoring separately - deleting an account doesn't delete its contacts, so restoring it doesn't restore them either
- Permanently deleted workspaces are not recoverable at all; that's a different, deliberate process with its own warnings
Who Can Delete and Restore
Deleting and restoring follow the same permissions as editing. If a role can't edit contacts, it can't delete or restore them either. The Activity Log (Settings → Activity Log) records every deletion and restoration with who did it and when, so "where did that customer go?" is always answerable.
Important
Trash is a safety net for accidents, not an archive. If a record matters, keep it - don't rely on Trash to store things you intend to come back to in a year.
