Calendar & Google Sync
Meetings you schedule in SwiftlyCRM can appear in your Google Calendar, and invitations can go to the people you're meeting - including guests who don't use SwiftlyCRM at all.
Two Ways to See Your CRM Calendar
| Option | What it does | Best for |
|---|---|---|
| Connect Google Calendar | Two-way: meetings you schedule appear in Google, and attendees get invitations | Most people |
| Calendar feed (iCal) | A read-only subscription link you paste into any calendar app | Apple Calendar, Outlook, or anyone not using Google |
Connecting Google Calendar
Go to Settings → Calendar and connect your Google account. You'll be taken to Google to approve access, then returned to SwiftlyCRM.
Once connected:
- Meetings you schedule are created in your Google Calendar
- Attendees receive a calendar invitation by email
- Each attendee shows whether the meeting will reach their calendar
Connecting is per person
Each team member connects their own Google account. Connecting yours doesn't sync your colleagues' meetings - they each need to connect from their own settings.
Inviting External Guests
People outside your organisation - a client, a partner, a supplier - receive a proper calendar invitation with the meeting details, so it lands in their calendar the same way any other meeting would. They don't need a SwiftlyCRM account.
The Calendar Feed
If you don't use Google, Settings → Calendar also gives you a private feed URL you can subscribe to from Apple Calendar, Outlook or anything else that accepts an iCal link.
Important
Treat the feed URL like a password. Anyone who has it can see your CRM calendar without signing in. If you ever share it by accident, regenerate it from the same settings page - the old link stops working immediately.
The feed is read-only: it shows your meetings, but changes made in your calendar app don't flow back into SwiftlyCRM.
Disconnecting
Disconnect from Settings → Calendar. SwiftlyCRM removes your stored Google access and revokes it with Google, so the connection is properly severed rather than just forgotten on our side.
Meetings already created in your Google Calendar stay there - disconnecting stops future syncing, it doesn't reach back and delete past events.
If Meetings Aren't Syncing
- Check Settings → Calendar still shows your account as connected - access can expire if you changed your Google password or revoked access from Google's side
- Reconnect if it doesn't
- Confirm the meeting has attendees; a meeting with nobody on it has nobody to invite
- Check the attendee's own connection status shown on the meeting
